Why does my Alumni Chapter have to sign a licensing agreement?

Signing a licensing agreement protects the integrity of Virginia Tech’s brand by ensuring all uses of university marks are consistent, accurate, and authorized. It also gives your Alumni Chapter a clear and compliant way to represent the university, while maintaining your chapter’s unique identity within the larger Hokie community.

How often do licensing agreements need to be signed?

Licensing agreements are renewed every three years, regardless of any changes in chapter leadership.

What happens if the alumni chapter does not sign a licensing agreement?

If a licensing agreement is not signed, the chapter will not be permitted to use Virginia Tech logos or marks in any communications, merchandise, or promotional materials. Signing the agreement ensures your chapter can proudly and properly represent the university while staying aligned with brand and trademark guidelines.

Can we customize our chapter logo?

Alumni Chapter logos were thoughtfully developed in collaboration with alumni chapter volunteers to ensure the logos appropriately reflect both the region and the volunteer group, while staying aligned with Virginia Tech’s brand. Because of this intentional design process, chapters must use their officially approved logo without alterations to the design, colors, or layout.

Can we use our designated logos for merchandise?

Yes! Chapters are encouraged to use their approved logos on merchandise. All usage must follow university branding and licensing guidelines, including using licensed vendors, approved colors, and appropriate logo placement. Visit brand.vt.edu.

What is a licensed vendor, and why do we have to use one?

Licensed vendors are approved by Virginia Tech to produce items using the university’s logos and trademarks. They are familiar with our brand standards and ensure that all merchandise complies with university guidelines. Using a licensed vendor protects both the university and your chapter from unauthorized or improper use of marks.

What is the cost associated with using licensed vendors?

Costs vary by vendor and item. Chapters are encouraged to compare quotes from licensed vendors to find the best fit for their needs and budget.

What are the proper guidelines for creating merchandise with alumni chapter logos?

Follow these steps to ensure compliance:

  • Notify your chapter liaison of your plans.
  • Choose a licensed vendor (vendor list available here).
  • Work with the vendor to apply your approved chapter logo to selected items.
  • The vendor will submit the design to the university’s Office of Licensing and Trademarks for approval.
  • Once approved, the vendor will create and distribute the agreed-upon items.

Are there any items we cannot produce with our logo?

Yes, Virginia Tech’s brand guidelines prohibit the use of logos on certain items, such as alcohol, tobacco, firearms, or political materials. If you’re unsure about a product, check with your liaison or the Office of Licensing and Trademarks before proceeding.

How long does the approval process take?

After the vendor submits your design, it is typically reviewed within two business days. The approval team is small, so occasionally it may take longer.

Can we use other Virginia Tech logos?  

Your chapter logo should be the primary mark used for merchandise, promotions, and general chapter business. However, certain events, such as Virginia Tech Athletics watch parties, may allow use of additional marks. All uses must follow brand guidelines. Please confirm with your liaison before sharing or publishing materials.

What templates can alumni chapters use for official business?

Chapters may use their approved logos on items such as:

  • Letterhead
  • Business cards
  • Name badges
  • Banners and signs
  • Invitations and promotional items

All materials must follow brand guidelines and be produced by licensed vendors. Other university marks may not be used without prior approval.
